Terms & Conditions of Vehicle Hire

1. Your contract with us

By signing the rental agreement you accept these Terms & Conditions of Vehicle Hire (the “Agreement”). Please read this Agreement carefully. If there is anything you do not agree with, please ask a member of staff at the rental location before signing.

Station Hire Limited is not responsible for any property in the vehicle during the hire period.

2. Rental period

  1. You will have the vehicle for the rental period shown on the rental agreement. We may agree to extend the rental period, but the total rental must not exceed 30 days.
  2. If you do not return the vehicle on time you will be in breach of this Agreement. We may charge you for every day or part-day until the vehicle is returned, at the daily rate quoted at the rental location.

3. Your responsibilities

  1. Look after the vehicle and its keys. Always lock the vehicle when not in use and use any security device supplied. Protect against adverse weather and use the correct fuel/fluids.
  2. Inspect the vehicle and accessories before collection. Report any issues immediately. Otherwise, the vehicle is deemed received in good order.
  3. Return the vehicle in the same condition as supplied (fair wear and tear excepted). If electric or hybrid, charge it as per manufacturer’s instructions.
  4. You are responsible for roof/upper body damage caused by low objects (bridges, barriers, branches).
  5. You must not sell, rent, loan, or dispose of the vehicle or give anyone rights over it.
  6. No work may be carried out on the vehicle without prior written consent.
  7. Inform us immediately of any defect.
  8. Return the vehicle to the agreed location during opening hours. Out-of-hours returns remain your responsibility until inspected.
  9. Check fluid levels and tyres regularly.
  10. You will be charged for excessive soiling, interior/exterior damage, missing parts, or failure to return in supplied condition.
  11. Remove all personal belongings on return. We accept no responsibility for items left in the vehicle.
  12. If you leave your own vehicle on our premises, you do so at your own risk.

4. Our responsibilities

  1. We will maintain the vehicle to manufacturer standards. It will be roadworthy and suitable at the start of hire.
  2. We are not responsible for loss, injury or death from breakdown or collision unless due to our negligence.
  3. Vehicles may have tracking devices. By signing, you consent to collection/use of tracking data.
  4. Existing damage will be disclosed before you sign the rental agreement.

5. Property

Station Hire Limited is not responsible for loss of or damage to any property in the vehicle.

6. Conditions for using the vehicle

  1. Only the hirer named on the rental agreement or a person authorised in writing may drive. All drivers must hold a valid licence and meet our insurance criteria.
  2. Drivers must not:
    • Carry passengers for hire or reward
    • Use for racing, pace-making, testing, or instruction
    • Drive under the influence of alcohol or drugs
    • Overload the vehicle
    • Drive outside the UK without prior written permission

7. Charges

You agree to pay charges based on our current tariff, including:

  • Rental and charges shown on the rental agreement (including VAT)
  • Charges for loss or damage
  • Delivery/collection charges (if applicable)
  • Mileage charges above agreed limit
  • Refuelling fee of £35 + VAT plus fuel cost if vehicle not returned with same level
  • Traffic offence fines, clamping, removal charges + £35 + VAT admin fee
  • Repair/replacement cost if damaged/stolen (subject to insurance/CDW)
  • Loss of income if vehicle unavailable due to damage/total loss
  • Seizure/impound charges and loss of income
  • Cancellation: full booking cost if within 72 hours; full refund if 72+ hours before
  • Excess mileage at £0.25 per mile
  • Interest on overdue sums (5% per annum above Barclays base rate)
  • VAT and other applicable taxes
  • Additional liabilities for administration, loss of earnings/revenue, and misuse

8. Our Insurance / Collision Damage Waiver (CDW)

  1. Unless you have arranged your own insurance, our insurance and CDW terms apply.
  2. We carry insurance to meet Road Traffic Act requirements.
  3. Cover is provided for loss or damage to the vehicle under policy terms. You pay the excess each time.
  4. Cover is provided for theft/attempted theft damage. You pay the excess each time.
  5. Policy requirements and CDW details are available at the rental location.

9. Your own insurance (Customer’s Own Insurance)

  1. You may arrange your own insurance with prior agreement. Evidence of valid cover must be provided.
  2. We may require our interest noted on the policy. We may negotiate with your insurers.
  3. You are financially responsible if your policy fails or is invalid.

10. What to do if you are involved in a collision

  1. Call 0333 207 9654 immediately.
  2. Do: stop safely, switch off engine, hazard lights on, check injuries, call emergency services, call us, take photos, record details, obtain witness information.
  3. Do not apologise or admit liability at the scene. Failure to report may render you liable for full costs.

11. Information and data use

  1. We may use information you provide for administration and market research.
  2. If you breach this Agreement, we may share your data with credit agencies, DVLA, debt collectors, BVRLA, and other relevant organisations.

12. Ending the agreement

  1. Consumers: we may terminate immediately if your goods are seized for debts, you enter insolvency, or you fail to meet conditions.
  2. Companies: we may terminate immediately if you enter liquidation, creditors’ meeting, assets seized, or fail to meet conditions.
  3. Termination does not affect our right to recover sums due. We may repossess the vehicle and charge costs.

13. Governing law and jurisdiction

This Agreement is governed by the laws of the country in which it is signed. Disputes may be submitted to the non-exclusive jurisdiction of the courts of that country. We reserve the right to appoint an arbitrator where appropriate.
